Terms & Conditions – VW Photobus

1. Booking & Payment

  • A non-refundable deposit of £100 is required to secure your booking.

  • The remaining balance must be paid no later than 14 days before the event.

  • Bookings made within 14 days of the event must be paid in full at the time of booking.

  • Payment details and invoices will be provided upon confirmation.

2. Cancellations & Changes

  • Cancellations made more than 30 days before the event will forfeit the deposit only.

  • Cancellations within 30 days of the event will be charged the full amount.

  • Changes to the event date or time must be requested in writing and are subject to availability.

  • If we are unable to attend due to extreme circumstances (e.g., severe weather, breakdown), a full refund will be issued.

3. Service & Setup

  • Our team will arrive approximately 60–90 minutes prior to your hire time to set up the photobooth.

  • The client must ensure suitable space, access, and parking for the VW photobus.

  • The client is responsible for ensuring venue approval for our setup (including noise, power, and access permissions).

4. Usage & Conduct

  • Guests using the booth do so at their own risk. We are not liable for accidents due to misuse or inappropriate behavior.

  • The client will be held responsible for any damage to the photobus or equipment caused by guests.

  • We reserve the right to stop service temporarily or permanently if guests are abusive or the equipment is at risk.

5. Prints & Digital Files

  • Instant printouts are included as specified in your package.

  • A full digital gallery will be provided to the client within 5 working days of the event.

  • For The Pop-Up Print Package, each photostrip is charged at £3.50. Guests can pay by card or cash.

6. Image Rights & Marketing

  • Unless otherwise agreed in writing, The VW Photobooth. reserves the right to use event images for promotional purposes (website, social media, print).

  • If you prefer to keep your images private, please inform us in writing before your event.

7. Liability & Insurance

  • We hold full public liability insurance and PAT test all electrical equipment.

  • We are not liable for delays or cancellations caused by events outside of our control (e.g., traffic, weather, venue issues).

8. Travel

  • Our base package includes travel within a 60-mile radius. Additional travel is charged at 50p per mile thereafter.

  • Congestion charges, parking fees, or overnight accommodation (if required) may be added to your invoice and discussed prior.
